Description

The Leasing Coordinator reflects the mission, vision, and values of Northwestern Memorial, adheres to the organization's Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines, and all other regulatory and accreditation standards.

The Leasing Coordinator facilitates, and monitors activities related to the lease process. This Coordinator tracks lease critical dates for both owned and leased properties to ensure effective space utilization within the context of NMH's short term and long-term real estate strategy. This Coordinator also coordinates special projects related to the real estate strategy and leasing process for NMH. The coordinator possesses strong written and verbal communication skills, and a customer service orientation.

Responsibilities:

  • Drive the lease critical dates report and associated tasks for both owned and leased spaces.
  • Coordinate space requests across the Northwestern Academic Medical Center campus.
  • Track the status of renewals and new lease deals until the leases are performed and processed.
  • Manage the execution and tracking of all critical leasing dates for AP and AR leases in the portfolio.
  • Support lease compliance and lease administration by reviewing, interpreting, and reporting on key lease provisions.
  • Manage tenant requests during lease negotiations.
  • Identify, develop, and implement key metrics to measure lease process performance and opportunity.
  • Prepare annual vacancy forecast for owned buildings.
  • Ensure the lease database system is accurate and complete through regular auditing and updates.
  • Assess and document subleases, as necessary.
  • Effectively communicate with tenants, contractors, and vendors as part of the leasing process.
  • Review and update real estate best practices, forms, documents, and systems to improve the speed and quality of real estate projects.
  • Develop materials and reports in support of NMH's real estate strategy and execution efforts.
  • Weekly/Bi-weekly meetings or calls with property management, construction, and Real Estate Strategy Participate in monthly finance reviews.
  • Participate in the annual budgeting process Lead special projects, as necessary.
  • Mitigate and escalate project risk.


Qualifications

Required:

  • Bachelor's degree or equivalent experience.
  • At least 3-5 years of experience in a corporate real estate department performing or supporting real estate transactions, analyses, lease administration, and property management.
  • Have a working knowledge of lease terminology and language as it relates to commercial lease terms and forms.
  • Excellent written and verbal communication skills.
  • Ability to adapt to changing priorities and serving multiple internal clients. High level of proficiency in MS Office suite including Word, Excel, PowerPoint, and Teams.
  • Highly organized and experienced in streamlining workflows and developing toolsets.
  • Proven customer service orientation.


Preferred:

  • Experience with SmartSheet, Yardi and Forecast Manager
